Access & User Roles

This page provides an overview of the roles available in the whistleblowing portal and the access rights associated with each role.

1.0 Administrator

1.1 Role Description

The Administrator has overall responsibility for the whistleblowing portal within the organisation. This role provides full administrative access to the system.

1.2 What the Administrator Has Access To

The Administrator has full access to the entire portal, including:

  • All incoming cases
  • Assignment of responsible case handlers
  • Closing and rejecting cases
  • Transferring cases between portals
  • Excluding and re-including administrators when transferring cases
  • Inviting co-case handlers and read-only users
  • Communication with the whistleblower and external parties
  • Activity log and case history overview
  • Creating and editing case documents
  • Document bank
  • Statistics and reports
  • Survey module
  • User management (create, edit, and deactivate users)
  • Portal settings and configuration
  • Managing categories, closure codes, and rejection codes
  • Activating and deactivating features and extensions

2.0 Case Handler

2.1 Role Description

The Case Handler is responsible for processing and following up on whistleblowing cases within the portal. This role is intended for users who actively work with case management.

2.2 What the Case Handler Has Access To

The Case Handler has access to:

  • Cases they are assigned to or invited to participate in
  • The tabs: Report, Case Management, Log, and Communication (if activated)
  • Creating and editing case documents
  • Inviting co-case handlers
  • Inviting read-only users to a case
  • Selecting and changing case categories
  • Placing cases in folders (if activated)

3.0 Read-Only User

3.1 Role Description

A Read-Only User has viewing access only. This role is used when a user needs to monitor cases without actively participating in case processing or making changes in the system.

There are two types of Read-Only Users.

3.2 Read-Only User with Access to All Cases

Access includes:

  • View access to all incoming cases
  • Report
  • Case Management
  • Log
  • Communication (if activated)
  • Case documents

3.3 Read-Only User Invited Per Case

Access includes:

Read access only to cases the user has been invited to. Within these cases, the user has access to:

  • Report
  • Case Management
  • Log
  • Communication (if activated)
  • Case documents

4.0 Communication Role

4.1 Role Description

The Communication Role is used when a person should only have access to a specific dialogue within the communication module.

4.2 What the Communication Role Has Access To

The Communication Role provides access to:

  • The specific dialogue the user has been invited to
  • Reading and sending messages within that dialogue

Access is limited to the specific dialogue only.

5.0 Document Role

5.1 Role Description

The Document Role is used when a person should only have access to a specific document within a case.

5.2 What the Document Role Has Access To

The Document Role provides access to:

  • The specific document the user has been granted access to

Access is limited to that specific document only.

6.0 Whistleblower

6.1 Role Description

The Whistleblower is the person who submits a report through the portal.

6.2 What the Whistleblower Has Access To

The Whistleblower has access to:

  • Submitting a report
  • Uploading attachments
  • Communicating with the case handler through the dialogue function (if activated)
  • Following up on their own case through the portal

Access is limited to their own report only.
